About Wiurila

Wiurila is a historic manor estate in Halikko, seven kilometres from Salo in Southwest Finland. Guests can book a table at Restaurant Wiurilan Sigrid, stay overnight in the Gasthaus, join a guided museum tour, or hire the grand event and meeting spaces for private occasions, corporate events, and celebrations. A Golf Club and horse stables also function on the state properties.

But for the Wiurila itself, there are four distinct bookable functions. Now, thanks to the new hospitality reservation platform, the entire team has full visibility and can manage all of them from one system.

Wiurila needed a hospitality reservation platform

The Challenge

With four services operating simultaneously, Wiurila’s reservation management had long outgrown what pen, paper, and personal calendars could handle.

Every booking was recorded manually. Information lived in notebooks, calendars, loose sheets of paper collected in maps, and individual inboxes. There was no shared system. No joint database to keep everyone updated and informed. When staff members were away, their reservations were effectively invisible to everyone else. Cross-referencing availability across the restaurant, gasthaus rooms, event spaces, and museum tours meant piecing together information from multiple sources every time a guest called.

The consequences were predictable: inaccurate records, missing details, time lost on administration, and a real risk of double bookings. There was very little possibility to reliably plan staffing in advance because no one had a clear, up-to-date view of what was coming.

Also, the Manor website was not functioning and needed updating and unifying. The new booking system is a part of the complete renewal of the website and the strategically unified operations.

The Solution: The Hospitality Reservation Platform by C-Mimmi-O

Wiurila’s reservation platform was designed and built as a browser-based reservation management platform for multi-function hospitality venues. The system planning started simultaneously with the new website for Wiurila. The booking pages are in conjunction with the new website. Even though it is a separate entity, for the Wiurila customers, the experience is unified and easy. C-Mimmi-O acted as a project manager for Wiurila on the website project that was built by Hansdotter.

The public booking site gives guests a single starting point: four service tiles, including restaurant, event spaces, gasthaus, and museum tours, each leading to its own booking flow, available in Finnish, English, and Swedish.

  • Restaurant (Ravintola Wiurilan Sigrid): Guests book a table directly: date, party size, and time. Standard duration is two hours unless otherwise requested. Special requirements, like dietary needs, birthdays, can be noted in free text.
  • Gasthaus: Room-level availability and pricing are visible upfront: individual rooms from €165/night, or the entire Gasthaus at €572/night. Guests select arrival and departure, choose their room, and can add breakfast (€15/person/day).
  • Museum tours: Guided tours with a minimum of 10 people. Guests choose from four tour types: all three museums (€25/person), the main building, the home and carriage museum, or the history collection, and select a date and group size.
  • Event and meeting spaces: For larger occasions, the flow works differently: guests describe their event, estimated headcount, preferred date, time, and room preferences, and Wiurila’s team responds.

Cross-reservations

A restaurant booking can include a museum tour or an event space. A gasthaus stay can include a restaurant table. An event inquiry can bundle catering, guest accommodation, and a museum tour. And all of them can be booked as one linked reservation. It is called crossbooking on the website. Even though for the customer it all looks like they are just making one single reservation with multiple functions, in the backend, staff will still be able to see separate reservations to keep tabs on all the different functions and how they fare in terms of business. Staff also manage all incoming phone and email bookings directly in the backend, with no parallel paper trail.

OFFERS

Wiurila customers can also send offer requests. Once details are agreed, the staff can send a formal offer through the system. When the customer confirms the offer as accepted, it converts to a reservation with a single click. No re-entry, no dropped details. All the data from the offer is automatically added to the reservation or reservations if there are multiple functions required.

The Results

  • Time back in the day. Bookings that previously required back-and-forth calls and handwritten notes now arrive as structured data, ready to act on.
  • Accurate, shared information. Every reservation lives in one place, accessible to the whole team in real time. No more booking data locked behind one person’s calendar or notebook.
  • Cross-function visibility. Staff see the full picture of a guest’s visit with the reservation linked with a clear badge indication on the reservation list and also on the individual reservations.
  • Staffing that can be planned. With a live view of reservations across all functions, scheduling decisions are based on real demand rather than guesswork.
  • A professional customer experience. Guests can book in their own language, Finnish, English, or Swedish, at any time, with transparent pricing and instant confirmation. They have the ability to book several functions from just one form on the public pages or contact Wiurila and ask the staff to build the reservation for them in the backend. Clear confirmation emails will be sent in either case. The offer flow gives Wiurila a structured, traceable process from first enquiry to confirmed booking for e.g. events or meeting bookings.

Beyond Reservations: Sales Velocity Index

As the reservation platform took shape, another need surfaced. Wiurila had sales data, but no easy way to read it. Which days actually perform best? Which hours of the day drive the most revenue? When should staffing be heaviest, and when can it be lighter?

The peak hours chart compares the busiest times of day on top-performing days versus quiet days side by side, making it immediately clear when and where Wiurila’s revenue concentrates. The top 10 sales days list shows exactly which dates have driven the highest revenue. Monthly profitability charts track the trend of sales against total costs, with estimated profit developing over time.

This is not generic reporting. It is the kind of visibility that lets your hospitality business make confident decisions about staffing levels, opening hours, and where to focus sales effort, and all based on your own actual data rather than instinct.
